Published 12th November, 2025 by James Batt

QuantumCare reduces your breach risk by hardening what you have. We make you a harder target so attackers move on.

QuantumCare identifies what needs protecting, protects it, and—if a breach happens—detects it and responds to contain it. QuantumCare does not cover full business recovery or data restores.

You’re here because you’ve built something good, and you want to protect it.

Cybersecurity shouldn't be confusing - especially when it comes to price.

What can shape your price?

What Can Shape Your Price - Pricing Factors
1

Number of employees

How many people use your systems daily

The total number of people who use your systems and email every day directly impacts the scope of protection needed for your organisation.

2

How your IT is set up

Cloud, on-premise, or hybrid infrastructure

Whether you have a simple cloud setup, or a mix of older kit, servers and specialist software affects the complexity and approach to your security.

3

Who looks after IT now

Internal, outsourced, or no support

Whether you have an internal IT person, an outsourced provider, or no IT support at all determines how we'll integrate with your existing setup.

4

Compliance requirements

Industry standards and regulations

Requirements like Cyber Essentials, PCI-DSS or client contracts that set minimum security levels need specific configurations and monitoring.

5

Cyber insurance

Meeting insurer requirements

Any security controls your insurer expects you to have in place before they will pay out on a claim must be properly implemented and maintained.

6

Offices & home workers

Multiple locations and remote access

How many locations, remote staff and devices need to be kept secure affects the scope of network security and endpoint protection required.

7

Type of data you hold

Sensitive information protection needs

Payment details, legal files or medical information need stronger protection with additional security layers and compliance measures.

8

Industry & contracts

Sector-specific security requirements

Working with finance, legal, healthcare or large enterprises often means extra security checks and higher standards to meet.

9

Additional services & add-ons

Enhanced support and tools

Extras like onsite visits, enhanced staff training, AI-driven security tools, vCISO support, or one-off project work when you need it.

10

Background & history

Past incidents and current security posture

Whether you've experienced breaches before, existing security measures in place, and results from recent security audits all influence the effort needed to secure your systems.

What Really Drives the Cost of Cybersecurity Protection Up and Down?

Cybersecurity pricing isn’t random. It reflects the level of expertise, technology, and the depth of protection you choose. Here are the core factors that determine the cost.

Security Cost Drivers Comparison
⬆️

Premium Security Features

Higher cost, maximum protection

  • Experienced breach teams
More costly, but faster, smarter responses when it matters most
  • 24/7 monitoring & response
Always-on coverage costs more than weekday-only protection
  • Dedicated specialists
Named contacts who know your business add significant value
  • Fewer clients per team
Premium providers cap clients for faster, more personal service
  • Comprehensive protection scope
Covering devices, cloud, access, and vendors takes more expertise
  • Advanced tools & certifications
Better technology and audit capabilities raise the bar—and the price
  • Hands-on fixes & rehearsals
Engineering time to close gaps and practice response adds cost
⬇️

Budget Security Shortcuts

Lower cost, higher risk exposure

  • ⚠️
    Alert-only models
Cheaper, but you're on your own to handle the fixing
  • ⚠️
    Weekday-only coverage
No weekend help means slower breach response when attacks peak
  • ⚠️
    Overloaded providers
Lower cost, but expect long wait times when you need help most
  • ⚠️
    Basic or reused tooling
Cheaper setups often go unmaintained and miss threats
  • ⚠️
    General IT support only
Less costly, but lacks deep security expertise when needed
  • ⚠️
    No testing or planning
Saves money now, but leads to chaos during actual incidents
  • ⚠️
    Limited protection scope
Cheaper, but leaves dangerous gaps uncovered for attackers

Real-World Pricing Examples

Pricing Examples
Example A

25-Person Law Firm

Monthly: £2,000
Onboarding: £3,000
Why This Price
We handled all day-to-day security tasks, so the monthly used our standard rate. Onboarding was higher because we upgraded several unsupported systems so everything was safe to manage going forward.
Standard pricing: 25 users × £80 = £2,000/month
Example B

45-Person SaaS Company

Monthly: £3,850
Onboarding: £6,000
Why This Price
The per-user monthly came out higher than the base band because they asked us to act as their primary IT support as well as security. (We don't specialise in general IT, but on this occasion we helped.) Onboarding was higher because a modern network was needed; the previous set-up began with five users and was home-built—great start, but ready for upgrade.
Base banded pricing would be: 30@£80 + 15@£70 = £3,450/month, but increased for additional IT support
Example C

120-Person Manufacturer

Monthly: £4,800
Onboarding: £3,000
Why This Price
Lower than our standard banded rate because the client's keen internal IT admin handled most day-to-day tasks under our guidance. We provided the tools, plan, and continuous monitoring, and acted as consultants—so onboarding was lighter. We still partner with their IT admin to build skills while keeping protection steady.
Standard would be: 30@£80 + 20@£70 + 20@£60 + 20@£50 + 30@£45 = £7,350, but reduced due to internal IT partnership
Example D

80-Person Healthcare Provider

Monthly: £5,500
Onboarding: £8,000
Why This Price
Per-user rate at our standard band. Onboarding was higher because their technology was close to end-of-support after years of deferring upgrades—so a lot of urgent, upfront work was needed in a short window to make the environment safe and supportable.
Standard pricing: 30@£80 + 20@£70 + 20@£60 + 10@£50 = £5,500/month
Example E

12-Person Brick Matching Company

Monthly: £900
Onboarding: £0
Why This Price
We've worked with this company for 15 years and they transitioned to QuantumCare. We chose to reward loyalty with a lower per-user cost and waived the one-off onboarding fee.
Standard would be: 12@£80 = £960/month, but reduced to £900 for long-term loyalty
Example F

20-Person Sales & Marketing Agency

Monthly (base): £1,600
Annual prepay (effective): £1,467
Onboarding: £1,000
Why This Price
We don't typically offer 12-month commitments as we prefer our clients to stay because they want to, not because they're locked in. However, this particular client specifically requested annual terms, so we accommodated them with reduced admin overhead and brought onboarding down, with a prepayment credit reflected in the effective monthly rate.
Standard pricing: 20@£80 = £1,600/month. Annual prepay: £17,600 (11 months - one month free) = £1,467/month effective

Lifetime cost vs initial price

What Will This Cost Over Time?

When planning cybersecurity investments, it’s useful to look beyond the monthly number. Below is a breakdown of typical year-one and 3-year costs based on company size:

Professional Pricing Table
Company Size Monthly Fee One-Time Setup Year 1 Total 3-Year Total
10 Users £800/mo £800 £10,400 £29,600
15 Users £1,200/mo £1,200 £15,600 £44,400
25 Users £2,000/mo £2,000 £26,000 £74,000
50 Users £3,800/mo £3,800 £49,400 £140,600
100 Users £6,450/mo £6,450 £83,850 £238,650
💡 Pricing shown uses our banded structure: first 30 users at £80, users 31-50 at £70, users 51-70 at £60, users 71-90 at £50, and 91+ at £45 per user. One-time setup fee typically equals one month's fee.
Real Cost of Cyber Incidents

The Hidden Costs of Cyber Incidents

Beyond the obvious costs, cyber incidents create ripple effects throughout your business

Lost Productivity Costs

Wages for people who can't work

When systems are down or employees are locked out, you're still paying salaries but getting zero productivity.
  • Full wages paid during system downtime
  • Overtime costs for catch-up work
  • Temporary staff to cover backlogs
  • Lost billable hours for service firms

Lost Revenue

Lost sales and missed opportunities

Every hour your website, phones, or key systems aren't working means lost orders, missed leads, and opportunities going to competitors.
  • Direct sales lost during downtime
  • Abandoned shopping carts
  • Missed contract opportunities
  • Future business from damaged relationships

Contract Penalties

Delays, penalties and unhappy clients

Missing deadlines or service commitments due to cyber incidents can trigger penalty clauses and damage client relationships.
  • SLA breach penalties
  • Late delivery charges
  • Compensation claims from clients
  • Lost performance bonuses

Emergency IT Costs

Extra IT and expert fees

Emergency response always costs more—weekend rates, rush fees, and specialist consultants add up quickly.
  • Emergency call-out charges
  • Forensic investigation fees
  • Data recovery specialists
  • Legal and PR crisis management

Reputation Damage

Long-term trust and confidence loss

Once customers lose confidence in your security, winning them back is expensive and sometimes impossible.
  • Customer churn and lost loyalty
  • Negative reviews and publicity
  • Increased marketing costs to rebuild
  • Lower conversion rates long-term

Insurance Impact

Higher premiums and tighter terms

After a claim, expect higher premiums, increased excess, or even difficulty getting coverage at all.
  • Premium increases of 25-200%
  • Higher excess amounts
  • Coverage exclusions added
  • Potential policy cancellation

Management Time

Firefighting instead of growth

Senior management time spent on crisis management means strategic initiatives and growth opportunities are put on hold.
  • Executive time in crisis meetings
  • Delayed strategic projects
  • Stress-related productivity loss
  • Key staff turnover from burnout

Ongoing protection is a known cost. A breach? It’s unpredictable, unbudgeted, and often unrecoverable.

Why protection is cheaper over time

  • Fewer incidents. Strong cover means fewer “bad days.”

  • Smaller impact. When something happens, it’s contained faster—less downtime, fewer bills.

  • Smoother sales. Clear security responses that remove friction and keep deals and renewals on track.

  • Less rework. A solution that fits avoids switching tools and doing things twice.

  • Leader time back. Less firefighting, more focus on growth.

Bottom line: Don’t chase the lowest sticker—choose the option that costs less across the year. QuantumCare is designed to reduce disruptions and surprises, so your total spend is lower even if the monthly fee isn’t the cheapest.

The Choice Is Yours

The investment is clear. The alternative is catastrophic.

Frequently Asked Questions

How much does cyber security cost for a small business in the UK?

Most small businesses we work with invest a few hundred to a few thousand pounds per month, depending mainly on user count and complexity.

Our banded pricing is:

1–30 users: £80 per user / month

31–50 users: £70 per user / month

51–70 users: £60 per user / month

71–90 users: £50 per user / month

91+ users: £45 per user / month systemssecure.uk

There’s also a one-off onboarding fee, which typically equals one month’s service. For example, 10 users would usually be £800/month with an £800 setup, and 50 users around £3,800/month with a £3,800 setup.

Use the price calculator on this page to see your exact estimate based on your employee numbers.

Can a small business actually afford cyber security with Systems Secure?

Yes. Our whole model is built so small and mid-sized UK businesses can budget for proper protection.

Month-to-month billing, no long-term lock-ins.

Fully transparent pricing – you’ll know your per-user cost and setup fee before you make a decision.

You stay because you feel protected and see value, not because you’re tied into a contract.

The only long commitment is for Cyber Essentials certification, which is a 12-month scheme by design, not our own rule.

What is the minimum size of business you work with?

Our standard minimum is 10 employees, because below that it’s hard to deliver the full QuantumCare service profitably at our quality level.

If you’re a smaller firm or micro-business, we may still be able to help with a lighter engagement or one-off work—just contact us and we’ll talk it through.

Is there a one-off setup or onboarding fee?

Yes, but it’s simple and predictable.

We charge a one-time onboarding fee to:

- Deploy and configure the security tools

- Do initial hardening and clean-up

- Get full visibility of your environment from day one

That fee is normally the same as your first month’s subscription. For example, if your monthly cost is £1,425, your setup fee is usually also £1,425.

Do you offer one-off cyber security help, or is everything a subscription?

You can choose either:

Ongoing subscription (QuantumCare) – a complete, managed security service that acts as your cyber security department.

One-off or project work – for example, a security audit, incident response, staff training, or a specific project, charged on a pay-as-you-go basis.

That means you can get help for an urgent issue now, without committing to a long subscription – and move into ongoing protection later if it makes sense.

How do I know which cyber security services my business actually needs?

We keep this straightforward:

1. Free 30-minute discovery call – we listen, ask about your setup, risks, and goals, and explain where you are today in plain English.

2. Optional Deep Dive Discovery – a paid, in-depth audit that maps your real risks and gives you clear recommendations, so you don’t waste money on things you don’t need.

3. You can also use the pricing calculator on this page to get a feel for likely costs before you speak to anyone.

No jargon, no pressure—just a clear picture of what’s sensible for your size and sector.

Can I cancel my cyber security subscription at any time?

Yes. Our core services are month-to-month with 30 days’ notice – we’d rather earn your trust than trap you in a contract.

The exceptions:

- Cyber Essentials – requires a 12-month commitment because the certification itself is annual.

- Any help with offboarding or handover is available on a simple hourly rate, so you can move safely to another provider or in-house team if you ever choose to.

What if I’m already working with an IT provider or MSP?

That’s totally fine.

Systems Secure focuses on cyber security only. We regularly work alongside:

- Internal IT teams

- Outsourced IT providers

- Existing MSPs

We plug the security gaps, provide specialist tools and monitoring, and coordinate with your IT provider so nothing falls between the cracks.

We’re not trying to replace your IT – we’re the security arm that sits beside them.

Are on-site visits included in the monthly price?

No. Your subscription covers remote cyber security services: monitoring, hardening, incident response and advisory.

If you want us on-site (for board sessions, audits, or complex changes), you can book:

- Half-day visits

- Full-day visits

These are charged separately, with travel costs clearly quoted up front.

What does your 30-day money-back guarantee actually cover?

You can try our monthly cyber security service risk-free for the first 30 days.

If you’re not happy in that first month, tell us and we’ll refund your first month’s service fee.

The guarantee does not apply to:

- One-time onboarding/setup work

- Pay-as-you-go or hourly projects

- Subscriptions that include Cyber Essentials or ISO certification costs

If you’re unsure whether a service is covered, just ask – we’ll be clear before you sign anything.

Why are some cyber security providers so much cheaper?

Ultra-cheap options usually cut corners in ways you can’t see:

- Less-experienced staff

- Older or poorly maintained tools

- Providers taking on too many clients to give proper attention

At Systems Secure:

- We focus only on cyber security, not general IT.

- We invest in strong, modern protection stacks.

- We cap QuantumCare at around 20 clients to keep response fast and personal.

Cheap cyber security often just shifts the bill to later, when something goes wrong.

Do you handle full recovery and rebuild after a cyber attack?

We lead the incident triage and containment, and we stay involved to make sure your systems are cleaned up and properly hardened afterwards.

For the full recovery and rebuild (restoring servers, files, line-of-business apps, etc.), we usually work alongside:

- Your internal IT team, or

- Your existing IT provider / one of our recovery partners

They handle the hands-on rebuild, while we guide and validate that everything is secure before you go fully back to business-as-usual.

We also strongly recommend you have cyber insurance in place.
Depending on your policy, it will often cover much of the restoration and rebuild costs, and we’re happy to work with your insurer’s incident handlers and loss adjusters during the recovery.
